Practical information

Smoking

Smoking is not allowed indoors at Aarhus University.

Clean-up

Please clean up after yourself at all times; in the lunch-room, conference rooms and the kitchen. Also remember to remove old food from the refrigerator.

Canteen

The IT-park’s canteen is situated in INCUBA Science Park in Åbogade. You are also very welcome to bring your own lunch-pack and consume it in the lunch-room (Wiener building, room 030).

If you need to contact all your colleagues at the department, or maybe a specific group of colleagues, you can make use of the mailing lists below.

“ansatte” = all employees

“fastvip” = full-time academic personnel

“dvip” = part-time academic personnel

“tap” = administrative personnel

Alarms

From Monday to Friday, in the time span 8.30 am to 4 pm, all access doors to the department buildings are unlocked. Outside this time span you need to use your access card and PIN code to access the buildings.

All windows on the ground floor in the department buildings are equipped with an alarm function. It is possible to tilt the windows without activating the alarm, but for safety reasons the alarm will go off, if the windows are fully opened.

Staff meetings

Monthly staff meetings are held on the first Monday of every month. These meetings will mostly be held in Danish. In these meetings new initiatives, budgets, employees etc. are presented.

Travels

The following procedure only applies to travels paid by your research travel account or a research project at Aarhus University. If you are travelling for external collaborators, you need to order your travel as requested by the collaborator.

All travels are ordered through ViaTravel . You have to order the travel yourself, and state your name and authorisation number.

When your travel is over, please hand in your tickets and travel vouchers to Mette Schäfer Kristiansen (please number all vouchers). Please fill out a settlement of business travel at the Aarhus University Self-service.

Your settlement will be processed within 2 weeks, and once it has been approved by the administration you will receive a refund of your travels expenses.

Insurance

As a state institution, Aarhus University is self-insured. Still, you need to take out insurance yourself, when travelling and driving your own car abroad.
